Billing

Billing & Refund Policy

Effective September 22, 2026

This policy explains how Clubhouse Sites subscriptions renew, how cancellations and plan changes work, and when refunds or domain-related charges may apply.

1. Subscription billing

Clubhouse Sites offers monthly and annual subscription plans. Paid subscriptions begin when checkout is completed and renew automatically on the selected billing cadence until canceled.

A free preview does not require a payment card. If you choose a paid plan before the preview ends, the paid subscription begins immediately.

2. Cancellation

You may cancel from the Clubhouse Sites billing portal. Cancellation is scheduled for the end of your current paid billing period rather than taking effect immediately.

Your paid plan remains active through the current period end. When the subscription actually ends, the website may return to preview mode and plan-specific features may be removed or disconnected.

If you reverse a scheduled cancellation before the period ends, service continues without interruption.

3. Upgrades and downgrades

Plan upgrades take effect immediately and may generate a prorated charge for the remainder of the current billing period.

Plan downgrades are generally scheduled for the next renewal date so the current plan remains available through the paid period. A scheduled downgrade can be canceled before it takes effect.

Changing plans does not change a monthly subscription to annual billing or an annual subscription to monthly billing unless you separately choose a different billing cadence through an available Clubhouse Sites flow.

4. Subscription refunds

Subscription fees are generally non-refundable once a billing period begins, including unused time after you stop using the service, except where required by law or where Clubhouse Sites determines that a duplicate, erroneous, or failed-service charge should be refunded.

If you believe you were charged incorrectly, contact us as soon as practical and include the organization name, charge date, and amount. Do not send full card numbers or other unnecessary payment credentials.

5. Complete managed-domain allowance

The Complete plan currently includes up to $20 toward one standard managed domain registration and up to $20 toward each eligible annual renewal.

If the registrar price exceeds the included allowance, the difference is an overage. Clubhouse Sites rechecks registrar pricing before renewal because registry and registrar prices can change.

6. Automatic domain-renewal overages

For an eligible managed-domain renewal with an overage of $55 or less, Clubhouse Sites may charge the saved payment method automatically only after sending advance notice and confirming that the notice was delivered.

The automatic-charge waiting period is seven days from confirmed delivery of that notice. If delivery fails, is suppressed, bounces, or is complained about, the renewal falls back to customer action instead of an automatic charge.

Overages above $55 require explicit customer approval or payment before renewal.

7. Domain registration and renewal refunds

Domain registrations and renewals are fulfilled through third-party registrars and registries. Once a registration or renewal is successfully submitted and fulfilled, those charges are generally non-refundable because the underlying registry transaction may be irreversible.

If Clubhouse Sites collected a managed-domain overage and the registrar renewal later fails, Clubhouse Sites will attempt to refund the related overage when technically and contractually possible.

If the registrar price changes before fulfillment, Clubhouse Sites may re-quote the renewal, request approval, collect an additional amount, or refund an amount already collected as appropriate.

8. Leaving Complete

If you cancel Complete or schedule a downgrade away from Complete, managed-domain renewal service ends at the applicable service-end date. The domain should not disappear before the paid Complete period ends solely because of the scheduled downgrade.

You are responsible for completing any requested registrar transfer or ownership steps before managed-domain service ends. A Pro plan may continue using a customer-controlled custom domain after transfer. Starter does not include custom-domain service.

9. Failed payments

If a recurring subscription payment fails, Stripe may retry payment according to the configured recovery schedule. Clubhouse Sites may keep service temporarily active while the subscription is in a recoverable past-due state.

If Stripe ultimately marks the subscription unpaid, canceled, paused, incomplete, or otherwise no longer entitled to paid service, the website may return to preview mode until a valid paid subscription is restored.

10. Support

Billing, cancellation, refund, or domain-charge questions may be sent to getclubhousesites@gmail.com. We may ask for reasonable information needed to identify the relevant organization and transaction.
